Name of position:

Senior manager of Human resources and document support service of «Nazarbayev University Library and IT Services» private entity

Main functional duties of structural division:

Human resources and document support of the activity of the Entity

Main job duties:

–         Acceptance and registration of incoming and outgoing correspondence in hard copy, as well as documents received via e-mail and fax;

–        Distribution of documents by executors after signing by the Head, making copies of the required number of incoming correspondence;

–        Control, monitoring of execution of administrative documents, incoming correspondence, other documents with instructions of the management of the Entity;

–        Preparation of information for the management of the Entity on the performance discipline for document circulation;

–        Organization of work on the production of blanks of the Entity, keeping records of them, issuing and destroying them;

–        Organization of work on provision of postal and telegraph services (conclusion of a contract, submission of an application for shipment, payment);

–        Organization of work on providing periodicals (conclusion of an agreement, payment quarterly according to invoices, acts for services rendered);

–        Organization of work on translation services (conclusion of an agreement, payment on the fact according to invoices, acts for services rendered);

–        Organization of visa support for foreign employees of the Entity (collection of documents for the extension of the visa, correspondence with new employees, registration after departure outside the Republic of Kazakhstan, direct work with the Departments of the Migration Service and the Consular Service of the MFA of the Republic of Kazakhstan);

–        Consultation of foreign personnel on personnel issues;

–        Preparation of documents for transfer to the University’s unified archive, in accordance with the approved File register of the Entity, development of the File register of the Entity;

–        Monitoring of training agreements of employees according to the «Talap» programme;

–        Timely and qualitative execution of other instructions of the management of the Entity in the framework of his/her duties and authorities

Education:

higher education, priority areas of specialties:

–  law;

–  pedagogic;

–  economic.

Required professional experience:

At least 3 (three) years of work experience in the areas corresponding to the functional areas of a particular position / or at least 1 (one) year of work experience provided that training is completed in foreign higher education institutions

Professional competence and personal qualities:

Skills of translating documentation into the state language and conducting business correspondence in the state language, analytical skills, skills of preparing analytical notes, communicative skills, ability to work in a team

Language proficiency:

Knowledge of state and Russian languages.

Knowledge of the English language is desirable with a confirmation certificate of IELTS – min. 6.0 / TOEFL min. 79-93 (the validity of the certificate does not matter) or the diploma / certificate of the University, where English was the language of instruction
